Adding a child’s CRM and publishing/unpublishing it from the website.

For this training, we will have you add a child’s CRM and publish them in the website.

Admin view:

  1. Login to http://YourURL/admin

  2. Go to the the CRM component.

  3. Add a child’s CRM record (use any first name and last name).

  4. Choose an image for the CRM.

  5. On the Record Types, choose: Child, Available.

  6. Go to the ‘Child Enrollment’ tab.

  7. Scroll down to the ‘Story’ section.

  8. Put a summary (this is a brief description).

  9. Use the ‘Body’ field for the child’s bio/story.

  10. Click ‘Save & Close’

  11. Check if your child has been published - http://YourURL/child-summary


Dashboard view:

  1. Login to http://YourURL/

  2. Click on “Create Record”

  3. Type the first name, last name, gender, and click ‘Save’.

  4. Choose an image for the CRM.

  5. Under person details, click “edit”, under record type add “available”

  6. Click “save”

  7. Go to the ‘Profile Information’ tab and scroll down to ‘Story’.

  8. Put a summary (this is a brief description).

  9. Use the ‘Body’ field for the child’s bio/story.

  10. Click ‘Save & Close’.

  11. Check if your child has been published - http://YourURL/child-summary


For the next training, you will need to unpublish the child you have created and published.

Admin view:

  1. Go to the CRM component.

  2. Search the child that needs to be unpublished.

  3. Double-click on the child’s record.

  4. Click “Edit”

  5. On the Record Type field;

    1. Remove the ‘Available’ record type.

    2. Add the ‘Unavailable’ record type.

  6. Click “Save and Close”

Dashboard  view:

  1. In the dashboard, go to the search field and search for the child that needs to be unpublished.

  2. Click the child’s CRM record.

  3. Under the ‘Details’ tab, click the ‘Edit’

  4. On the Record Type field;

    1. Remove the ‘Available’ record type.

    2. Add the ‘Unavailable’ record type.

  5. Click “Save”


Adding a project.

For this next training, we will have you add a new project.

Note: Projects can only be added in the Admin view.

  1. Go to ‘Site Planner’.

  2. Under the ‘Content Explorer’ side, expand ‘Sites’, and expand ‘Defaults’.

  3. Right-click on the ‘Projects’ folder and click ‘Add Item’.

  4. Type in a Title for the project.

  5. Put a summary (this is a brief description).

  6. Use the ‘Body’ field for the projects complete description.

  7. Click “Browse” to add an image for this project.

  8. Click “Browse” to add a Cover Image (this is the image banner in the detail page).

  9. Click ‘Save & Close’.

  10. You can check your project in here - http://YourURL/projects


To publish a project with a ‘Simple View’ (these are projects that are linked from another page).

  1. Go to ‘Site Planner’.

  2. Under the ‘Content Explorer’ side, expand ‘Sites’, and expand ‘Defaults’.

  3. Go to the ‘Projects’ folder and expand ‘Projects’.

  4. Right-click on the ‘Simple View’ folder and click ‘Add Item’.

  5. For the Simple View, you can just type the Title and ‘Save & Close’.

  6. Simple View pages are published here - http://YourURL/give/{project alias}

Unpublishing a project.

  1. Go to ‘Site Planner’.

  2. Look for the project that you have just added and double-click on it.

  3. Expand the ‘Publishing’ accordion found at the right side of the window.

  4. Click the ‘Stage’ drop down and choose ‘Unpublish’.

  5. Click ‘Save & Close’.


Editing a Child Sponsorship receipt.

Since the Child Sponsorship receipt is only being sent one-time to new sponsors, this is configured using Spark.

  1. Login to http://YourURL/admin

  2. Click the ‘Spark’ component.

  3. Expand the ‘New Contribution’ folder.

  4. Expand the ‘Site is Default, in Campaign, Category Child, in folder Available and is online’ folder.

  5. Double-click on the ‘Send message to Donor with Subject Thank you for sponsoring’ and edit the ‘Message Body’ field. Take note that you can also use the variables available to fully customize the message.

  6. Do the same process for folder; ‘Site is Default, in campaign category Child, in folder Boys and is online’, and ‘Site is Default, in campaign category Child, in folder Girls and is online’.


Adding a contribution through the Admin view.

This use case is if a donation needs to be made by the admin on behalf of the donor. For this training, we will have you add a recurring donation to a project by using a dummy credit card.

  1. Go to the ‘Contributions’ component.

  2. Click the ‘Menu/Search’ blue bar.

  3. On that expanded tab, click the ‘Add a Contribution’ button.

  4. Choose the Donor’s name (for this exercise, choose your CRM record to make the donation).

  5. Choose the ‘Type’ of donation - only Online gifts can be recurring.

    1. For Online (Credit Cards and eChecks)

      1. On the ‘Payment Method’ field, click the blue icon next to the field.

      2. Fill out the fields and use 4141414141414141 as the dummy credit card number.

      3. Put any expiration date and security code.

      4. Click ‘Save & Close’.

    2. For Offline (Cash and Checks)

      1. Choose the ‘Offline Type’.

      2. For Checks, put any valid check number.

  6. Choose the recurrence of the donation.

  7. Choose the Campaign for the donation (choose any projects other than a child).

  8. Type in the amount and click ‘Submit’.


Changing the designation of a recurring donation to a project.

This use case is if a recurring donation needs to be changed by the admin on behalf of the donor. We will have you change the designation of your recurring gift.

  1. Go to the CRM component.

  2. Search for your record and double-click it.

  3. Click the ‘Giving’ tab (shopping cart icon), then click ‘Recurring View’.

  4. Right-click on the recurring gift and click ‘Edit’.

  5. You can now change the campaign designation to a different campaign. This new campaign designation will start on the next run date of the gift.


Reversing/Refunding a contribution.

Now we will have to reverse/refund your contribution.

  1. Go to the ‘Contributions’.

  2. Look for your donation transaction.

  3. Right-click on that transaction and click ‘Reverse’ for offline gifts and ‘Refund’ for online gifts.
